Privacy policy
Effective October 2026. Reinam Appraisal ("we") is the appraisal practice of Heriberto Santiago, Florida Certified Residential Appraiser RD4135. This policy explains what we collect through reinamappraisal.com, our client portal, our phone line and text messages, and how we use it.
What we collect
- Information you give us: name, email, phone, firm, case details, the names of parties and intended users, property access details, documents you upload, and messages.
- Order and payment records. Card and bank details are entered on our payment processor's secure page; we never see or store full card or account numbers.
- Property information from public records and commercial property data providers, used to price and prepare the appraisal. It is used internally and is not shown on the website.
- Technical data: IP address (also stored when you accept an engagement letter), browser type, pages visited and the campaign or website that referred you.
- Calls to our AI phone line may be recorded and summarized. The assistant tells you this at the start of the call.
How we use it
- To quote, schedule, inspect, prepare and deliver your appraisal, and to provide support afterward.
- To run a conflict-of-interest and prior-services check before accepting an assignment, as required for appraiser independence.
- To send order updates by email and, if you consent, by text message.
- To keep the workfile that appraisal standards (USPAP) and Florida law require.
- To prevent spam and fraud and to understand which of our marketing works.
Text messages
If you check the text-message box, we send texts about your order or question (for example, payment received, scheduling and delivery). Message frequency varies and message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Consent to texts is never a condition of purchase. We do not sell or share your phone number or text-message consent with third parties for their marketing.
Who we share it with
We share information only as needed to do the work: with the intended users named in your engagement letter, with service providers that host our website and data, process payments, send email and texts, and with anyone the law, a court order or appraisal standards require. We never share information about one party with the opposing party, and we do not sell personal information.
Confidentiality and retention
Appraisal workfiles are kept for at least five years after delivery, or at least two years after final disposition of any judicial proceeding in which the appraiser testified, whichever is longer. Files are stored encrypted with restricted access.
Cookies and analytics
We use a few cookies needed to run the site: your language choice and, if you have an account, your sign-in. We count visits to our public pages with Vercel Web Analytics, which does not use cookies and does not identify you; we see totals such as which pages are read and which websites or campaigns sent visitors. Private pages (order steps, scheduling links, the client portal) are not counted.
Your choices
You can ask to see or correct the personal information we hold about you through the Contact Us page. Some records must be kept in the workfile for the retention period above.
